ScopeNod contains customer names, job details and photographs. This notice explains what Walkerbiz Ltd holds, why it is needed and the choices available to you.

1. Who is responsible

ScopeNod is a trading name of Walkerbiz Ltd, company number 15421006. Walkerbiz Ltd is the controller for account, billing and service-administration information. For job information uploaded by a service business, that business will normally decide why the information is used and Walkerbiz Ltd provides the ScopeNod service on its behalf.

2. Information ScopeNod handles

  • Account information such as name, email address, business name, customer-facing contact details, logo and team membership.
  • Account security information, including a salted one-way password hash if you choose a password, expiring password-reset tokens and sign-in sessions. ScopeNod never stores your readable password.
  • Customer information entered by a service business, including name, email, telephone number and job address.
  • Job information including starting scope, prices, variations, completion notes and checklist responses.
  • Photographs uploaded as evidence of work or a job change, together with file type, size and a digital fingerprint.
  • Customer decisions and conversation messages, including response time, a protected hash of the network address and basic browser information.
  • Subscription identifiers and status when Stripe billing is enabled. ScopeNod does not store complete payment-card numbers.
  • Technical, health and error records needed to prevent misuse and keep the service working.
  • Anonymous landing-page, demo and sign-up events only when a visitor has allowed optional analytics.

3. Why it is used

Provide ScopeNodTo create accounts, store job records, show private approval pages and produce completion records.
Protect the serviceTo verify requests, limit repeated attempts, investigate faults and maintain an audit history.
Manage subscriptionsTo operate paid plans, account limits, cancellations and billing support when payments are connected.
Meet obligationsTo respond to lawful requests, maintain necessary business records and establish or defend legal claims.

The usual lawful bases are performance of a contract, legitimate interests in providing and protecting the service, and compliance with legal obligations. A service business using ScopeNod is responsible for choosing an appropriate lawful basis for the customer information it enters.

4. Who receives information

Information is shared only where needed with OpenAI Sites and its Cloudflare-backed hosting, database and file-storage services; Resend for transactional email; Stripe for subscriptions and payment processing; OpenAI for optional AI help and message drafting when that connection is enabled; professional advisers; authorities where legally required; and people given a private job link by the account holder. We do not sell personal information or use advertising pixels.

Authorised support access

Authorised ScopeNod administrators can review account information and enter a business workspace to provide support, investigate faults and administer the service. Access requires an identified administrator, a recorded reason and an expiring access session. Workspace entries and attempted changes are logged. Support staff do not need your password and cannot use this access to change your subscription or delete your account.

5. AI help and message wording

AI help and customer-message wording are available to Pro and Business workspaces when the AI connection is enabled. Requesting help sends your question and ScopeNod's product guide to OpenAI. Choosing “Help me word this” sends the message text you provide and your chosen tone. The help assistant does not browse your account, job records or photographs. Names, descriptions or other personal information you include in the text may be processed, so avoid unnecessary private or sensitive details.

For message rewrites, ScopeNod replaces detected numbers, email addresses and web links with placeholders before requesting a suggestion, then restores them locally. When creating an approval draft, limited job details such as the customer's first name, business, job title, change, price and time impact may be sent; the real approval link is added afterwards. Information typed into job descriptions may also be included.

AI requests use a hashed workspace/user identifier and disable response storage through OpenAI's API setting. ScopeNod records the model name, token counts, estimated cost, workspace and request category for service administration, limits and account-level cost reporting; it does not store the AI prompt or response in that usage ledger. OpenAI's applicable processing and abuse-monitoring retention policies still apply. ScopeNod does not save help questions or unused suggestions as conversation history. Wording you choose to send is stored under the normal job-message rules. AI can make mistakes: check every suggestion. It cannot send messages, change quotes or make customer decisions for you. Basic guides and manual messaging remain available without AI.

6. How long information is kept

Operational job records remain available while the relevant ScopeNod account is active unless the account holder deletes the account. Approval links expire after fourteen days, although the recorded decision remains with the job. Account deletion removes operational database records and stored job photographs, subject to limited information that must be kept for legal, security or financial reasons.

7. Photographs and customer details

Service businesses must only upload photographs and customer details they are entitled to use. Avoid including unrelated people, private documents, vehicle registrations or sensitive information when it is not needed to explain the work.

8. Your choices and rights

Depending on the circumstances, people may have rights to access, correct, erase or restrict the use of their information, object to certain processing and receive information in a portable format. ScopeNod account owners can download an account export and request permanent deletion from Settings. Customers should normally contact the service business that created their job record first.
